CUSTOMER COMMUNICATION WORKSPACE

Dashboards and role-based access

TQRHub gives each person a workspace matched to their responsibilities while maintaining a consistent view of customer activity.

Roles

  • Administrators oversee conversations, categories, settings, assignments, and team access.
  • Team members work from assigned categories and focus on conversations relevant to their responsibilities.

Dashboard views

  • Administration dashboard: Configure the workspace, manage team assignments, and monitor work across categories.
  • Team dashboard: Handle active conversations, tasks, and follow-ups through a streamlined operational view.

FOCUSED WORK

Categories and topic views

Categories are configured in Settings to reflect departments, services, campaigns, or other areas of responsibility. Topic views then help team members focus on the work assigned to them.

CONNECTED CHANNELS

Coordinate conversations and public activity

Connected channels feed a shared workflow while retaining the rules and capabilities of each communication service.

WhatsApp Business

TQRHub supports the WhatsApp Business Cloud API so teams can manage customer conversations from the TQRHub dashboard.

  • Message templates: Where required outside an active customer-service window, team members can select an approved template from the conversation view.
  • Window reminders: TQRHub can notify customers before an active service window ends and include open thread identifiers to make continued conversations easier to route.
  • Conversation continuity: Replies containing a thread identifier return to the relevant conversation; new tagged or untagged messages follow the configured routing rules.

Channel availability, templates, and sending rules depend on your account configuration and the current policies of the connected service.

Facebook Messenger

Facebook Messenger conversations appear alongside other connected channels and follow the same TQRHub operating workflow: topic organization, status tracking, assignments, internal notes, and team responses.

Reply availability remains subject to the current rules and permissions associated with the connected Facebook Page.

Social Monitor

The Social Monitor gives teams visibility over public activity from connected Facebook Pages, including post comments, shares, and mentions. It supports reputation monitoring and engagement workflows while remaining separate from the private Messenger inbox.

ROUTING AND COORDINATION

Organize each message around its purpose

TQRHub uses categories, optional subtags, and active-thread context to keep different customer needs separate and direct work to the right place.

How messages are routed

  • Tagged messages go directly to the corresponding category or conversation thread.
  • Untagged messages return to the customer’s current active thread when one is available.
  • New-customer messages enter the main queue for review and routing when no active context exists.
  • Independent threads keep separate topics isolated; resolving one does not close the customer’s other conversations.

From conversation to action

Incoming information can be converted into operational work such as:

  • Cases and assignments
  • Follow-ups and reminders
  • Escalations and alerts
  • AI-assisted classification, sentiment analysis, summaries, and response support
MESSAGE ORGANIZATION

Categories, subtags, and conversation threads

Message format

Customers can direct a message to an appropriate category:

[CATEGORY] Your message

Examples

[SALES] Do you ship to Canada?
[BILLING] I need a refund for order #123.

For additional context, an optional free-form subtag can identify an order, ticket, product, or campaign:

[CATEGORY:SUBTAG] Your message
[BILLING:ORDER#123] Request refund for order #123
[SHIPPING:ORDER#789] Where is my delivery?

Customers can send /help to receive the configured category and message-format guidance.

How conversation threading works

Each categorized conversation has its own history and can be managed independently. One customer can therefore have several active threads at the same time—for example:

  • A billing enquiry
  • A sales opportunity
  • A technical-support request

Tagged replies return to the specified thread. Untagged replies follow the active-thread routing rules.

CONVERSATION LIFECYCLE

Move work from intake to resolution

  1. A customer message or connected signal enters TQRHub.
  2. TQRHub categorizes the information and creates or reopens the appropriate thread.
  3. The work is routed to the relevant team member, queue, or workflow.
  4. The team reviews context, uses AI assistance where appropriate, and responds or takes action.
  5. Follow-ups, reminders, and escalations keep the work moving.
  6. When complete, the thread can be resolved or closed while its history remains available.

Customer records and context

TQRHub includes a contact directory where authorized team members can create, view, and update customer information. Records can include:

  • Name and contact details
  • Connected messaging identifiers
  • Address or other relevant profile information
  • Conversation, topic, and thread history
  • Engagement and reward information from connected workflows

This context helps teams understand previous interactions before responding or taking the next action.

Dashboards

Roles:

  • Administrators have full access to all conversations, settings, and team management
  • Agents are assigned to specific categories and see only conversations relevant to their department

Your Dashboards:

You'll have access to two interfaces for managing customer requests:

Admin Dashboard: Your control center for configuring settings, managing team assignments, and overseeing all conversations across all categories.

Frontend Dashboard: A streamlined interface where agents handle conversations by assigned category, organised by active threads.

Categories are configurable in the Settings page.

Topic View: Team members can browse conversations filtered by specific topics (e.g., /primedesk-dashboard/support/), ensuring they focus on relevant requests.

Supported Channels

TQRHub currently supports the following messaging platforms:

WhatsApp Business

TQRHub fully supports the WhatsApp Business Cloud API, allowing your team to manage customer conversations directly from the TQRHub dashboard.

Message Templates

To continue a conversation after the 24-hour window has expired, TQRHub supports Meta-approved message templates. Agents can select and send these templates directly from the conversation view to re-initiate contact in compliance with WhatsApp's messaging policies.

Once the customer replies, the 24-hour customer service window automatically reopens and normal messaging resumes.

Expiring Conversation Windows

To reduce interrupted conversations, TQRHub can notify customers approximately 30 minutes before their WhatsApp messaging window expires.

The notification includes all currently open conversation threads together with their thread IDs.

If the customer wants to continue a specific conversation after the window expires, they simply reply using the thread ID shown in the notification (for example, BILLING-001).

Alternatively, customers can send a new tagged or untagged message, and TQRHub will automatically route it to the appropriate conversation.

Facebook Messenger

In addition to WhatsApp, PrimeDesk supports Facebook Messenger. Messenger conversations appear alongside WhatsApp threads in the agent dashboard and follow the same workflow — threads, status tracking, assignment, and internal notes all work the same way.

Unlike WhatsApp, Messenger has no 24-hour messaging window, so agents can reply at any time without needing to send a template first.

Social Monitor

The Social Monitor gives your team visibility over public activity on your connected Facebook Pages — comments on posts, shares, and mentions — all in one feed. It is separate from the Messenger inbox and is intended for keeping track of public-facing activity.

How the System Routes Messages

  • Tagged messages — routed directly to the corresponding thread
  • Untagged messages — automatically routed to the customer's current active thread
  • Untagged messages from new customers — directed to the main thread, visible to administrators for manual routing
  • Thread isolation — each thread is fully independent; closing one does not affect others for the same customer

Message Format

TQRHub organizes customer conversations using categories and optional subtags, allowing multiple enquiries from the same customer to remain separate and easy to manage.

Customers can direct their message to the appropriate department using a category:

Examples:

  • [SALES] Do you ship to Canada?
  • [BILLING] I need a refund for order #123.

For additional context, customers can include an optional subtag:

Examples:

  • [BILLING:ORDER#123] Request refund for order #123
  • [SHIPPING:ORDER#789] Where is my delivery?
  • [SALES:STREAM-9X] Need pricing for 50 units

Subtags are free-form and can represent an order number, ticket ID, product name, or any identifier that helps organize conversations.

Customers can send /help at any time to receive a list of available categories and message formats. The help menu is fully configurable by an administrator.

How Message Threading Works

Every tagged conversation is automatically organized into its own independent thread with a dedicated chat history.

A single customer can have multiple active threads simultaneously—for example:

  • A billing enquiry
  • A sales enquiry
  • A technical support request

Each thread remains independent, allowing agents to manage different topics without mixing conversations.

How replies are routed:

  • With a tag — the message is directed to that specific thread
  • Without a tag — the message is routed to the customer's current active thread automatically

Conversation Lifecycle

A typical conversation follows this workflow:

  1. Customer sends a categorized message.
  2. TQRHub creates (or reopens) the appropriate conversation thread.
  3. The thread is assigned to the appropriate team or agent.
  4. Agents reply directly from the web dashboard.
  5. The conversation continues until the issue is resolved.
  6. Once complete, the thread can be marked as resolved or closed.

Customer Records

TQRHub includes a contact directory where agents can manually add and manage customer information. Each contact record stores key details including:

  • Name
  • WhatsApp number
  • Address
  • Full conversation and thread history

This gives agents immediate context when handling enquiries. Contact records can be created, viewed, and updated from the agent dashboard.
